Privacy Statement

This privacy statement applies to all participants of the Snapp (Skilled Newcomers and Professionals Partnership) pilot. Participants (“you”) refer to newcomers and local professionals who have registered to participate in the Snapp pilot. “We”, “our”, and “us” on this document refers to PeaceGeeks.

Your privacy is very important to us! Please read this privacy statement to learn more about what personally identifiable information we collect, how we use it, and what steps PeaceGeeks takes to protect your privacy when you participate in the Snapp pilot. We limit the collection of personal information to only that which is necessary to carry out this pilot.

1. What Personal Data We Collect and Why

We collect your personal data for the following purposes:

To contact you by email for any communication related to the Snapp pilot.

For this purpose we use the following data:

  • First name
  • Last name
  • Email
To match newcomers and local professionals who participate in the Snapp pilot

For this purpose we use the following data:

  • Profession
  • Languages
  • Interests
  • Bio, which may include your personal and employment background

Your consent for the use of this data is obtained when you submit your registration form.

To introduce you to your matched partner (i.e. the individual in the Snapp pilot to whom you will be matched)

For this purpose we use the following data:

  • First name
  • Last name
  • Email
  • Profession
  • Languages
  • Interests
  • Bio, which may include your personal and employment background
  • LinkedIn Profile URL
  • Calendly URL

Your consent for the use of this data and the sharing of this data with your matched partner is obtained when you submit your registration form.

To verify your registration to the Snapp pilot

Each participant’s registration form is reviewed by PeaceGeeks staff before they are accepted into the Snapp pilot. For this purpose we use the following data:

  • First name
  • Last name
  • Email
  • Profession
  • Bio, which may include your personal and employment background
  • Location (Metro Vancouver, BC, Rest of Canada)
  • How long you have been in Canada (for newcomers)
  • LinkedIn Profile URL
  • How you heard about Snapp
  • Name of individual or organization you were referred by

Your consent for the use of this data is obtained when you submit your registration form.

2. Sharing with Other Parties

The Snapp pilot aims to test the workflow process and user interface before we develop a long-term technology solution. For this purpose, we use the third party tools (processors) listed below. This Privacy Statement does not address, and we are not responsible for, the privacy, information or other practices of any third parties, including any third party operating any site or service to which the services link. We recommend you read the privacy policies of these third party tools for more details.

We only share or disclose data to processors for the following purposes:

Processor name: Coda
Purpose: database and workflow management, interface for PeaceGeeks staff, email notifications, including confirmation emails and match introduction emails

Processor Name: Webflow
Purpose: Snapp website, registration forms

Processor Name: Mailchimp
Purpose: Email participants the feedback survey

Processor Name: Zapier
Purpose: Connect all third party tools

Processor Name: Survicate
Purpose: Feedback survey

3. Data Retention

The Snapp pilot is funded by the Immigration, Refugees and Citizenship Canada. The Contribution Agreement requires records related to this project retained for the entire Term of the Agreement ending March 31, 2021, and for seven years afterwards.

4. Your Rights Over Your Data

If you have registered for the Snapp pilot, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

If you would like to review, correct, update, suppress or delete personal information that has been previously provided to us by you, you may contact us at privacy@peacegeeks.org.

In your request, please make clear what personal information you would like to have changed, whether you would like to have your personal information that you have provided to us suppressed from our database and, if applicable, let us know what limitations you would like to put on our use of your personal information that you have provided to us. For your protection, we may only implement requests with respect to the personal information associated with the particular email address that you use to send us your request, and we may need to verify your identity before implementing your request. Please note that we may need to retain certain information for recordkeeping purposes. There may also be residual information that will remain within our databases and other records, and that may not get removed.

5. Cookies

“Cookies" are identifiers we transfer to your device that allow us to recognize your browser, application or device and tell us how and when various pages and features in our services are visited or used and by how many people. You may be able to change the preferences on your browser, application or device to prevent or limit your device's acceptance of cookies, but this may prevent you from taking advantage of some of our features. We may associate the information we collect from your different devices, which helps us provide consistent services across devices.

6. Security

We are committed to the security of personal data. We take appropriate security measures to limit abuse of and unauthorised access to personal data. This ensures that only the necessary persons have access to your data, that access to the data is protected, and that our security measures are regularly reviewed.

7. Protection of Children

We do not collect or use personal information from children under the age of 13. If you are a parent or guardian of a child under the age of 13 and believe that they have provided us with personal information, please contact us immediately using the contact information at the bottom of this Privacy Statement. If you are under 13, please do not attempt to register for the services or send any personal information about yourself to us. If we learn that we have collected personal information from a child under age 13, we will delete such personal information. If you believe that a child under 13 may have provided us personal information, please contact us immediately using the contact information at the bottom of this Privacy Statement.

8. Updates to This Privacy Statement

We may change this Privacy Statement from time to time. Please take a look at the “Last Updated” legend at the bottom of this page to see when this Privacy Policy was last revised. If we decide to change this Privacy Statement, we will send you an email with the changes to ensure you are always aware of which information we collect, how we use it and under what circumstances we may publish this information.
